Membership

  1. Annual dues shall be $30.
  2. Members shall review and update their personal information in the Member Directory on the PHNC website at least once a year or as necessary.
  3. New members who join/pay dues in the last quarter of the year (October, November, December) shall receive membership for the current year as
    well as the coming year (15 months total).
  4. PHNC shall conduct an annual summer membership campaign with new members who join in June, July, August or September paying half-price
    dues. Members who bring guests to a luncheon during the membership campaign receive one entry per guest in a drawing in September for a
    free lunch certificate.
  5. Members who renew/pay dues early (prior to December 1) shall be entered in a drawing for a free lunch certificate.

Finances

  1. The processing fee for special event registration refunds made prior to the reservation deadline shall be 10% of the special event fee. There shall
    be no refunds issued after the registration deadline.
  2. Duplicate payments shall be refunded via the original payment method with no processing fee.
  3. Payments made by check must be mailed or given to the Treasurer within seven days of making a luncheon or special event reservation.
  4. Unless funds have been set aside in the Annual budget, all Activity Groups shall be self-supporting.

Meetings of Members

  1. Membership Meetings/Luncheons shall be held the third Tuesday of every month, beginning at 10:30 am, at Cypress Run Golf Club, barring
    change or cancellation by the Executive Board.
  2. The deadline to sign up for monthly luncheons shall be midnight on the first Thursday of every month. Late registrations and walk-ins shall not be
    allowed.
  3. Once a reservation is made, the substitution of meal selection shall not be permitted.
  4. Up until the day before a luncheon, members may make arrangements to assume the reservation of another member who cannot attend the
    luncheon with the consent of the person who made the reservation and with notification to the Vice President-General Meetings. No reservation
    transfers may be made the day of the luncheon.
  5. Complaints/concerns related to luncheons shall be directed to the Vice President-General Meetings or the President not to venue staff.
  6. The dress code for Membership Meetings/luncheons shall be business casual. Denim jeans, shorts, exercise wear and/or swimwear are prohibited.
  7. Meal tickets, which are located in nametags, should be displayed on the table at one’s place setting to inform wait staff of meal selections.
  8. Take-away containers shall not be provided at PHNC luncheons.
  9. Members should not interrupt waitstaff with special requests while they are working to distribute meals throughout the room.
  10. Tipping is not permitted at PHNC luncheons

Election of Officers

  1. Each Executive and General Board position shall be considered open for the coming year at the start of the nominating process.
  2. Partial terms served by Officers and Chairs who have been appointed to fill a vacancy shall not count against eligibility for subsequent terms.
  3. All inquiries and deliberations of the Nominating Committee shall remain confidential as shall decisions regarding the slate until it is completed
    and approved by the Executive Board.

Communications

  1. Selling personal items on the PHNC Members-Only Facebook page shall not be permitted nor will copying and pasting Facebook posts from
    outside the PHNC Members-Only Facebook page.
  2. Members shall add info@phnc.us to their digital address books to facilitate delivery of emails from PHNC.
  3. Members should log out each time they are done visiting the PHNC website.

Activity Groups

  1. No one shall be allowed to sign up for an Activity Group gathering until after receiving the Chatterbox newsletter for the coming month.
  2. Signing up for Activity Group gatherings shall be monthly. Signing up for more than one month shall not be allowed.
  3. Those who have signed up for an Activity Group event and who cannot attend must contact the Activity Group coordinator to cancel as soon as
    possible.
  4. Carpooling in the name of PHNC shall not be allowed.
  5. Suggestions/proposals for new Activity Groups should be shared with the Activity Group Chair who will bring the finalized proposal to the Board
    of Directors for a vote.
  6. A vacancy in an Activity Group coordinator position shall be filled by a recommendation from the members of the Group communicated to the
    Activity Chair who will then present the personnel change to the Board of Directors for a vote. The Activity Group Chair may assist in recruiting
    a coordinator replacement, as necessary.

Amendments

  1. PHNC Bylaws and Standing Rules shall be reviewed at least once a year.
  2. These Standing Rules may be altered, amended or replaced by a majority vote of the Board of Directors as necessary at any time.
